EVENT PRODUCTION MANAGER
Temporary contract: January to july 2020
démArt Program - Conseil des arts de Montréal
As part of the démART program (Conseil des arts de Montréal), ELEKTRA is looking for a passionate and dynamic person to work with all the departments to organize the 5th BIAN and 21st Festival as well as all the professional activities (MIAN - International Market for Digital Art) to be held in the Spring 2020.
Organized, multi-tasking, autonomous and curious, he/she will actively participate in organizing events in a dynamic and international environment.
ELEKTRA is an organization that promotes work and artists that combine art and new technologies. In May-June-July 2020, we are organizing the 5th BIAN (International Biennale of Digital Art). This great moment will be punctuated by the Festival, professional gatherings and other activities throughout Montreal
This exhibition will celebrate ELEKTRA's 20th anniversary and mark the beginning of a new cycle as the next three years will focus on East Asian countries in 2020 (China, Korea, Japan) and Asia Pacific in 2022.
ELEKTRA is looking for an Event Production Manager who will be responsible for the event coordination as well as the related administrative tasks.
More specifically, the selected candidate will be involved in the following tasks:
BIAN + FESTIVAL:
In collaboration with the artistic, technical and communication teams the candidate will contribute to the overall logistics under the supervision of the production manager by:

Coordinate artists and professionals arrivals and departure;

Book flights itineraries, monitore accomodations;
-
Production of roadmaps and invitation letters (Visa);
-
Update databases.

Establish schedules, supervise material and human needs;
-
Make the link with the exhibition and performance venues (Arsenal art contemporain, Centre phi etc.);
-
Coordinate the volunteer team: needs assessment, planning and team organization, roadmap, etc.
INTERNATIONAL PROFESSIONAL ACTIVITIES :
-
Plan, organize and evaluate the feasibility of the project;
-
Participate in the programming of conferences and related activities with the artistic and communications department;
-
Coordinate professionals arrivals and overall logistics ;
-
Flight and accomodation booking;
-
Logistical and technical follow-up with venues;
-
Roadmaps, visa, presentation documents, etc. ;
-
Related tasks regarding guests inquiries during the event, etc.
OTHER ACTIVITIES
-
Contribute to the production of the exhibitions in the ELEKTRA gallery;

Anticipate the needs of artists;
-
Manage technical question related to the site (equipment rental, exhibition set-up);

Scheduling event organization
PROFIL
-
Proven experience in the production of international events;
-
Bilingual English-French, fluent or good knowledge in Chinese, Japanese or Korean is a plus;

Flexibility and autonomy;
-
Multi-tasking and ability to manage several projects at the same time;

Stress and priority management;

Ability to adapt and solve problems,

Team player
-
Have a keen interest in contemporary art, digital art, media arts and new technologies;

Be familiar with the Microsoft Office and Mac.
ELIGIBILITY REQUIREMENTS FOR THE DEMART PROGRAM
ELEKTRA will submit the application of the person selected for funding from the Conseil des arts de Montréal's DémART program.
In accordance with the terms of the program, we are looking for a person "from cultural diversity and immigration, newcomers or first generation".
Status and conditions of the trainee: (see glossary)

The applicant is a Canadian citizen or permanent resident in Canada on the date of filing the application;

The candidate is from cultural diversity (cultural communities or ethnocultural minorities: communities made up of people of non-Canadian, Quebec, French, British or Aboriginal origin);

The applicant is an immigrant: newcomer or first generation (immigrants who have been residing in Canada for less than 5 years with permanent resident status);
-
The candidate is self-employed;
-
The candidate is located on the island of Montreal.
Availability :
the successful candidate will work a total of 650 hours between January 6 and July 31. Possibility to adjust the schedule during the period (ex: 20h/week then full-time 35h/week with increased availability during the festival and biennial period - May / June / July).
Working conditions :
Salary: $18 / hr.
